Agree on a cutoff
Choose the final period the outgoing provider will complete and the first period the new team will own. List upcoming deadlines so neither side assumes the other is handling them.
Collect the records
Ask both teams to confirm the handover inventory.
- Ledger exports, reconciliations, and supporting documents.
- Completed filings, acknowledgements, and outstanding queries.
- Payroll records and recurring schedules, where relevant.
- Software ownership, access lists, and document locations.
Transfer access deliberately
Keep business ownership of your systems. Use named user accounts, confirm what the new team needs, and agree when the outgoing team's access ends. Avoid sharing a single personal login.
Review the first close
Ask the new provider to identify missing records and unresolved balances early. Agree who will resolve each item and what additional work may cost. Keep the handover checklist until both teams confirm completion.
